PLAN YOUR FAMILY’S WINTER ARRIVAL

A family ski trip has a lot of moving pieces before the first lift ride: flight numbers, checked bags, skis, child seats and the right hotel entrance. Use this checklist to organize your SLC airport pickup and your return from Park City or Deer Valley. It is designed for a private transfer, with the details your transportation provider needs before travel.

When you book: send one complete trip summary

Include the arrival date, airline, flight number, traveler count and a phone number that will work after landing. Add the full lodging address and property name. For the return, send the departure flight details and the pickup address, even if it is the same hotel. A round trip should have a confirmation for both directions.

If family members arrive on different flights, list each flight separately. Decide whether everyone will wait for the last arrival or use separate vehicles. Ask how a delay to one flight affects the group pickup. Do not assume an airline’s arrival time is the time everyone will be ready at the curb.

Count bags and equipment, not just seats

List checked suitcases, carry-ons, ski or snowboard bags, strollers and oversized items. Our SUVs seat up to 5 passengers and our new 2026 Sprinter up to 11, but the right choice also depends on the luggage. For larger groups, 36- and 39-passenger mini coaches are available by arrangement. Ask us to confirm the vehicle for your full load before reserving.

For example, five travelers with five suitcases and several ski bags should request a luggage review instead of choosing an SUV solely because it has five passenger seats. A group traveling to dinner may fit differently from the same group arriving with a week of luggage. Review our vehicle options and send the actual bag count.

Arrange child seats and assistance in advance

Tell us the number of children, their ages and what child restraints you need or plan to bring. Confirm the specific arrangement in writing before travel. If a traveler needs mobility assistance or space for equipment, describe those needs early so we can discuss suitability. Do not rely on a general vehicle description to answer an accessibility question.

Choose your airport meeting option

Curbside airport pickup is included. If you prefer an inside baggage-claim meet-and-greet, request it when booking; the optional charge is $30. Confirm which service appears on your reservation and keep the arrival instructions handy. The airport’s official ground transportation page provides general airport information, while your confirmation should explain your provider’s meeting procedure.

After landing: communicate when your group is ready

Turn on the phone number listed on your reservation and check for pickup instructions. Collect every bag, including oversized equipment, before reporting that the group is ready. If luggage is missing or your flight changes, let dispatch know promptly. International travelers should confirm that their phone or messaging plan will work in Utah; provide an alternative reachable contact if needed.

Use the exact Park City or Deer Valley entrance

Park City Mountain Village, Canyons Village and Deer Valley are different destinations. Deer Valley also has several base and lodging areas. Send the street address from your lodging confirmation, plus any arrival instructions for a private home, gate or reception desk. Read our Deer Valley lodging arrival guide if you are unsure which entrance to use.

Plan the return before the vacation starts

Ask for a pickup time that accounts for the drive, winter conditions and the airline’s recommended airport arrival time. Add time for loading children and equipment. Confirm where everyone should be waiting and who will check that nothing has been left in the hotel. Avoid placing a fixed activity immediately before the airport transfer.

Keep this final checklist on your phone

  • Both transfer confirmations and the provider’s contact number.
  • Correct flight numbers and dates for arrival and departure.
  • Exact property address, entrance and any access instructions.
  • Passenger, luggage and ski-equipment counts.
  • Confirmed child-seat or assistance arrangements.
  • Curbside pickup or the optional $30 inside meet-and-greet.
  • Written price, waiting terms and cancellation or change policy.
